Welcome to insightnotes.in, the official site for the Insight Notes iOS app and companion web experience. We take your privacy seriously. Here, you’ll find a straightforward run-down of how we look after your personal info when you use our products.

1. Information We Collect

Provided Information: Your name, email, and any other details you provide when you create an account with us, submit feedback, or request support.

Device Data: We record your IP address, browser type, operating system, and device type when you use our services.

Cookies and Tracking: We use cookies to improve site functionality and user experience. You can manage these via your browser.

Usage Analytics: To improve our services, we analyze how you and others interact with our site using analytics tools.

2. How We Use Your Information

The collected data helps us to:

  • Provide, maintain, and improve our services.
  • Communicate with you, including order confirmations, invoices, technical notices, updates, security alerts, and administrative messages.
  • Understand and analyze how you use our services for development and optimization.
  • Protect against misuse or unauthorized use of our services.

3. Information We Do Not Share

We use AI models to process your notes, but we do not send any of your information for training purposes, and your notes remain absolutely private within your account.

Private Entries: Your notes, recordings, and their transcriptions are for your eyes and ears only.

Search History: We keep your search history confidential.

Personal Inquiries: Questions you ask your notes stay between you and insightnotes.in.

4. Information We Share

Service Providers: We rely on select processors—AssemblyAI for speech-to-text, OpenAI for Insight AI outputs, and Apple for billing—to deliver the product. We only share the minimum data required for each request.

Legal Obligations: We may be compelled to disclose your information for legal reasons, such as in response to law enforcement requests, or to prevent harm or fraud.

5. Data Protection

We are committed to protecting your data through a combination of technical and administrative security controls.

At Insight Notes, we want to be clear and direct about what happens to your data—from the moment you record a note, to the moment you delete it.

Where your data is stored

  • Insight Notes is developed by the Insight Notes team. Recordings, transcripts, creations, and preferences are stored locally on your iOS device inside the Insight Notes sandbox. We do not maintain a centralized cloud database today.

Who has access to your data

  • The app is secure by design. No one on the Insight Notes team can open your private notes or recordings on their own.
  • If you email support, we may ask for optional diagnostic exports that you review before sharing; otherwise we do not receive your content.
  • We never monitor, review, or analyze your notes or transcripts for any purpose.

What happens when you delete a note

  • When you delete a note (voice or text), it is instantly and permanently removed from the Insight Notes data store on your device, with no backup retained.
  • There is no retention period—once you delete, it’s gone for good.

How AI models are used (and what isn’t done)

  • To provide accurate transcription and AI-powered features, we use trusted third-party AI providers—AssemblyAI for diarization/transcription and OpenAI for Insight AI generations.
  • To process your notes, certain data is securely transmitted to these AI providers only when you request those features. This is necessary for transcription, summaries, and AI-powered features.
  • Your data is encrypted in transit. End-to-end encryption (E2EE) is not feasible because the provider must process the content, but we minimise what is sent.
  • We do not use your notes or recordings to train any AI models.
  • Data sent to AssemblyAI or OpenAI via API is not stored or used for training by those providers under their API terms, and you do not need to opt in.
  • We never send more data than is required for your request, and we avoid sending any unnecessary or personally identifying information.

Data pseudonymization

  • We have not implemented pseudonymization of user data, as this would impact features like Ask AI, which relies on your actual notes and imported content.

No monitoring or filtering

  • We do not flag, monitor, or filter your recordings or transcripts for keywords, sensitive content, or any other purpose.
  • Your privacy is respected at every step.

Compliance and security

  • Insight Notes is fully GDPR compliant.
  • We are currently undergoing SOC 2 certification with Vanta. Regular third-party audits and compliance checks are performed to ensure your data remains protected.
  • Two-factor authentication (2FA) is currently in testing and will be available soon.

What we do not do

  • We don’t use your data for model training or research—neither internally nor with our providers.
  • We don’t share your data with advertisers or unauthorized third parties.
  • We don’t retain or back up your content after you delete it.
  • We don’t monitor, access, or analyze your notes or recordings except as needed to deliver our core services.

6. Your Rights

You may have the right to access, correct, or delete your personal data, or restrict its processing. You also have the right to object to the processing of your personal data. Please contact us to make such requests.

7. Changes to This Policy

We may revise this Privacy Policy from time to time. The most current version will always be posted on our website. If we make changes that are material, we will let you know by posting on our site or by sending you an email or other communication before the changes take effect.
